Manager of Administration

In this permanent, full-time role (35 hours/week), you will manage office operations and administrative workflows, provide assistance to Park people’s leadership team, and play a critical role in optimizing the smooth execution of organizational policies, HR administration, and internal procedures.  We are looking for an exemplary manager who is an experienced administrator and can oversee internal workflow management for a national, bilingual organization. This is a new position.

In this role, you will:

  • Manage administrative workflows and optimize the implementation of effective and efficient internal systems, communications, and procedures
  • Manage human resources administration including recruitment, onboarding, group benefits, wage subsidy programs, confidential personnel files and tracking 
  • Manage our office space at 401 Richmond St. W., as well as oversee effective use of our coworking spaces across the country, and health and safety for employees
  • Provide high-level administrative support to the Board of Directors, Committees, and Executive DIrector including preparing Board packages, coordinating meetings, managing schedules, handling confidential communications, arranging travel, preparing reports/presentations, and acting as a key liaison with community contacts
  • Handle document management, record-keeping, and data entry processes and ensuring all electronic data and files are property safeguarded
  • Oversee IT systems, Google Workspace, and our tech stack
  • Manage vendor and contractual relationships, service providers, and suppliers
  • Support corporate wellness initiatives and employee professional development  
  • Plan, promote, and participate in office events at 401 Richmond St. W in Toronto and participate in a range of in-person projects and events in the Greater Toronto Area. 
  • Other day-to-day administrative duties as required

The skills and experience you bring to the role include:

  • Previous management experience, preferably in administrative roles
  • Very strong attention to detail and ability to meet deadlines
  • Strong organizational skills and execution-focused – experience handling the processes, documentation, and coordination of internal workflows 
  • Ability to take initiative, work autonomously, and make decisions when multiple courses of action are possible
  • Experience managing an office space
  • Ability to use communication and interpersonal skills to establish professional relationships with board members, employees, vendors, partners, and other individuals – Able to communicate information, expectations, and instructions clearly and concisely.
  • Experience providing executive assistance to senior leaders
  • Demonstrate judgment, tact, diplomacy and discretion in conducting, answering, and or redirecting inquiries to appropriate sources and in dealing with sensitive or highly confidential matters
  • Technical Proficiency (Google Workspace, Basecamp, BlackBaud, working with AI, and others) 
  • Customer/client service oriented 
  • Ability to anticipate needs and issues, proactivity and flexibility
  • Experience working in not-for-profit settings is an asset
  • Event planning and execution is an asset 
  • Experience or education in human resources management is an asset
  • French language/bilingualism is not required, but is a strong asset – if you speak French, please indicate this in your application

Location: This position is located in Toronto and requires a minimum of four days per week in an office environment. Some evening and weekend work may be required. 

Salary:  $65,000-$75,000 

Anticipated Start Date: January 2025
